*Position Title: *Office Assistant
*Reports to:* Clinic Manager and Medical Director, Health for Life Medical Centre (?Centre?)

Health for Life Medical Centre provides timely and comprehensive primary health care services to our adult clients focusing on a Lifestyle Medicine approach to optimizing physical and mental health and longevity. This is provided through a program of services of assessment and health recommendations by our multidisciplinary team. Our clients are generally highly motivated to work on their health and wellness with our guidance.
*Purpose of the Position:*
The Office Assistant provides excellent client services, communication, office & clinic support, to ensure the success of the administrative and clinical client services at the Centre.
*Position Responsibilities:*
Including, but not limited to:
Assist with Clinic Communication, Coordination and Clinical flow:
* Maintain confidential health and personal information of all clients attending the Centre.
* Schedule & coordinate client appointments
* In-clinic reception and telephone and electronic response to client inquiries
* Contact clients to notify of/ remind of appointments
* Assist clients entering & exiting premises safely
* Assist with simple clinical tasks such as vital signs, urine dips etc.
* Coordinate scheduling of planned evening/weekend educational sessions
* Provide support role in client educational programs
* Production and distribution of Centre correspondence and publications
Assist with Electronic Medical Record, Microsoft Office software, electronic media:
* Create databases, maintain, edit and prepare required reports from the EMR.
* Maintain clinical data on medical and other consultations and request and receive reports.
* Coordinate and arrange timely diagnostic appointments, referrals and consultations.
* Create user-friendly templates & custom forms in EMR as required.
* Update Centre website
* Format, provide content and send out Centre communications including e-newsletters
Assist with Financial Functions
* Complete daily OHIP electronic billing for insured services
* Using Simply Accounting complete accounts payable and accounts receivable.
* Issue invoices and accept payments for client services.
* Assist with any retail sales.
* Maintain organized inventory of office and client care materials. Communicate with agreed suppliers to maintain appropriate inventories.
* Prepare required reports and communicate with accountant for Centre on key financial issues.
Assist with General Clinic and Secretarial Duties
* Word-processing and general document preparation
* Use of AI (Artificial Intelligence) as this technology advances
* Assist with minor health procedures via direction of Clinician(s)
* Prepare light snacks for clients and maintain small supply of snacks.
* Prepare clinic rooms for each new patient.
* Maintain general tidiness and cleanliness of Centre and entranceway for safety and access.
* Occasional purchasing or errands for Centre business.
* Coordinate arrangements for team meetings or small catering requirements.
* Assist with hiring recommendations for new staff, orientation and training of new Centre staff or consultants, and ongoing assessment of staff and consultants.
* Liaising with external contacts as necessary.
Perform other related duties as assigned by Clinic Manager or Medical Director.
*Education and Experience:*
The Office Assistant will have:
* A minimum Grade 12 and a Medical Administration diploma and minimum two years? experience in a client-focused, medical/allied health setting or equivalent.
*Skills and Knowledge:*
* Advanced skill with Microsoft Office Products including email and internet functions.
* Intermediate skills and experience with Simply Accounting software.
* Basic skills in web design & editing
* Skilled team player demonstrating a consistent and self-directed focus on client satisfaction and service.
