Job Summary:
As the Administrative Services Manager, you will play a critical role in ensuring the smooth and efficient functioning of the company's administrative functions, supply chain activities, and daily operations. Responsibilities include efficient management of administrative processes, managing payroll, financial records, logistics, and warehouse operations to support business objectives.
_*Responsibilities:*_
*Administrative Management:*
* Oversee and coordinate office administrative procedures and review, evaluate, and implement new procedures to improve efficiency.
* Establish work priorities, delegate tasks to administrative staff, and ensure deadlines are met.
* Conduct analyses and oversee administrative operations related to budgeting, contracting, and project planning.
* Manage office services such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
* Prepare and manage the annual budget for administrative operations and ensure effective cost control.
* Maintain records and compile data to prepare periodic and special reports, manuals, and correspondence.
*Financial Management:*
* Manage payroll and employee insurance programs.
* Maintain accurate financial records, including accounts payable and receivable.
* Prepare financial reports and budgets and oversee financial planning and analysis.
* Ensure compliance with financial regulations and standards.
*Contract Management:*
* Oversee the preparation, negotiation, and administration of contracts and agreements with suppliers, clients, and service providers.
* Ensure all contracts comply with organizational policies and legal requirements.
* Monitor contract performance, manage contract renewals, and address any issues or discrepancies.
* Maintain accurate and up-to-date records of all contracts and agreements.
*Supply Chain Management:*
* Monitor inventory levels, manage stock replenishment, and oversee warehousing and distribution operations.
* Coordinate logistics activities, including transportation, shipping, and receiving, to ensure efficient and timely delivery of goods.
* Implement and monitor compliance with health and safety regulations and standards in all supply chain activities.
* Coordinate with other departments to streamline warehouse processes.
_*Qualifications & Experience:*_
* Master?s degree in Accounting, Finance, Business Administration, or a related field (MBA preferred).
* Minimum of 2 years of experience in operations coordination and administration.
* Payroll processes and procedure knowledge specific to Canada is an asset.
* Proficiency in QuickBooks and Microsoft Office.
* Strong understanding of payroll processes and regulations.
* Excellent organizational and multitasking abilities.
* Effective communication and interpersonal skills.
* Detail-oriented with a high degree of accuracy.
* Ability to work independently and as part of a team.
